Winlink Operator Instructions

About This Form

This form has been coded using technologies available to desktop browsers all the way back to March of 2010. Chrome, Firefox, IE 11, Opera, and Safari are supported. You can also use Edge (released in 2015), although the later versions that include the Chromium Engine will be most reliably compatible.

Mobile device-based web browsers are also supported! This includes Chrome, Samsung Internet, Opera Mobile, and Android Firefox. You can rotate your device to change the view and the form will adjust its layout to accommodate the new screen dimensions (try it now!)

Some mobile device browsers have quirks:

  • The on-screen keyboard will definitely get in your way. Use a compatible external keyboard if you have one.
  • Tab-order is not always correct. Just tap the field you want to change/fill-in to work around the problem.

NEW FEATURE for 2024: Users now have the ability to edit Bib Data in the Entries Field after entering them using the IN, OUT, or DROP buttons. Using the form to enter data is a better choice than entering or editing the data manually, so use this feature with care and precision.

Topics

The form is broken up into three sections:

  • Top: Form header with event, location, and message information.
  • Middle: Entering and viewing bib data.
  • Bottom: A Comments field and buttons for saving, restoring, and clearing bib data, and submitting data for posting a new Winlink Express message.

Note: This form provides limited keyboard-only support.

  • Tab key to move between screen elements.
  • Spacebar or Enter to activate a highlighted element.
  • Enter will try to press the button if required fields have data in them.

Top section: Header and Message Information

  1. Enter this Event Name for example "Bigfoot 2024".
  2. Enter a Message Number starting with 1. You can use the button once or just enter a number.
  3. Enter the recipient's amateur call sign in the Send To field. You can add other recipients in the Winlink Message after submitting.
  4. Aid Station: Click or press the Spacebar to display the list, then use your mouse or keyboard arrows and Enter key to select the Aid Station for which the bib data applies.
  5. Subject Line: This is filled-in automagically. Resist the urge to change it.

Note: Be certain to select the Aid Station you are reporting for. This is critically important information.

The Subject Line will be formatted for you. As an example, a Subject Line of BigFoot 2023 Elk Pass Message #1 is composed from the following information:

  • BigFoot 2023: The Race or Event Name entered at the top of the form.
  • Elk Pass: The Aid Station selected at the top of the form.
  • Message #1: The Message Number entered at the top of the form.

The "Send To" data is used to address the Winlink Message to the intended recipient and is not included in the subject line.

Middle section: Entering and Viewing Bib Data

Enter the Bib Number and time that a Runner arrived (IN), exited (OUT), or bowed-out of the event (DROP):

  1. Enter Bib Number: Limited to 15 characters.
  2. Enter The 24-hour time that the runner entered, exited, or bowed-out. Limited to 6 characters.
  3. Yesterday: Click/tap this checkbox to set the day of the month back one day.
  4. Click IN (arrived), or OUT (exited forward course), or DROP (bowed out of event). Doing so adds the bib information to the Entries Field, below.

The following items will get updated after clicking IN, OUT, or DROP buttons.

  • Entry Count: A read-only field shows the number of bib records that have been entered.
  • End Of Prior: A read-only field that displays the last-submitted entry in a prior message created with this Form. Leave the web browser open to use this feature. The format is "Bib Number, Action, Time, "D:" Day of month, and "M#" Message number"
  • Entries Field: Displays the list of entries complete with bib number, time, action, day of month, and Aid Station abbreviation.
  • Bib Number, Time, and Yesterday fields will be cleared.

Bib Number and Bib Time fields will auto-populate if you forget to add data to them. Mis-keying certain characters will cause the form to attempt to correct the mistake (but it is not perfect). A common default "fix" is "0000" in the Bib Number or Time entry boxes, or in the Entries Field below. Watch for this while you are entering data and fix it before clicking IN, OUT, or DROP.

Note: Be certain to enter Time in a 24-hour format like "0006" or "00:06" (for 6 minutes after midnight), and "2350" or "23:50" (for 11:30pm). Avoid using "am" and "pm". Adding alpha characters will just take up space while typing, and will be removed before it is put into the Entries Field below. Other characters besides numbers and ":" will result in the form changing your entry, possibly in an unexpected way.

Pay attention while entering data. Always verify data while entering it, and use the to save your place.

The Entries Field uses comma-separated-values. The Bib Record data fields are (from left to right): Bib Number, Bib Action, Action Time, Day Of Month, Aid Station (abbreviated). If you must edit an entry, be certain that all 5 fields exist for each entry (row), and the 5 fields are separated by a single comma. If you must edit data, it is probably a better choice to remove the row with "bad data" and then re-enter the data correctly using the Form Fields and buttons.

About IN, OUT, and DROP Actions

This is a trail-running event, not a timed competition. Use your best judgement when entering Bib Times, for the safety of registered participants, and for the well-being of their crew (knowing where their runner is).

  • IN: The runner (bib) arrived at the Aid Station.
  • OUT: The runner exited the Aid Station, continuing forward‐course.
  • DROP: The runner is bowing out of the race or has been disqualified by Destination Trail.

Only one Action per Bib Record entry is allowed.

Example: Bib 123 entered at about 12:34 today you would enter the data like this:

  1. Bib Number: 123
  2. Bib Time: 1234
  3. Click "IN"

When a runner actually arrived yesterday, click the "Yesterday" checkbox before clicking the appropriate Action button.

If you don't know the exact time the runner entered the Aid Station:

  1. Check the Aid Station booklet and "Bingo Board" (assuming they are being updated).
  2. Ask the Aid Station captain and volunteers. They will sometimes have a good idea as to when a runner arrived or left.
  3. Locate the runner's crew and ask if they know.

If you don't find an answer following the above steps, chances are you have the best situational knowledge to determine what time makes the most sense. Make a fair estimate based on your experience and enter that time. Add a concise note in the Comment field about that bib number if extra information will be helpful.

Number of Entries

This accurately counts the number of bib entries currently stored in the form. This number will update every time you click IN, OUT, or DROP, and any time you make a direct edit to the comma-separated values.

Bottom Section: Comment, Save, Restore, and Submit Bib Data

Comment Field

For any bib entries that need additional explanation (especially DROP) use the "Comments" area to free-form a short and to the point statement.

If the message is too long or complex for the Comment field, contact Bigfoot Base via a separate Winlink Message, voice radio, or other means to relay the necessary information to them.

One last note about runners that "DROP": It is usually a good idea to radio-in to Bigfoot Base by voice after adding a DROP to the list. Have the bib number, time, and the reason (if known) ready before you call.

Save and Load buttons

Use the Save Data Race Data button to store the bib entries into a plain text file.

  • The file will be named with the current date and time with a "txt" file extension so any text editor can open it.
  • The file will be stored in your browser's download folder (the default). Check your Browser Settings to configure this.
  • You can rename the downloaded file to something more meaningful without harming the data, or interfering with the operation of this Form.

Submit Button

If you launched this form using Winlink Express, use the button to have Winlink Express automatically create a new, well formatted message. On-screen information will guide you through the submission process.

The information that is sent in the new Message via WinLink can be copied and pasted directly into an excel spreadsheet or other database software. This is what Bigfoot Base does when they receive the message. If it is not formatted exactly as this Form does it, they might call you on the radio and ask for you to resubmit or clarify information. This is not a good use of your time, so refrain from editing the "posted" Winlink Message after submitting this Form.

Clear Entries button

Use the button to remove all bib record entries. USE WITH CAUTION there is no undo! See the above sub-section "Saving and Loading Race Data" for more information.


Considerations

Stay on top of your runner records lists. Even if you cannot send data via Winlink for some reason, keep entering data into this Form and click to store a list on your device. Start a new Form and repeat this process until you can send the data via Winlink using the or by other means. You will have an easier time keeping track of runners this way by viewing files stored on your device.

The sooner you get valid data to Bigfoot Base, the better the hams and the event organizers understand the status of all runners and Aid Stations. Since runners come and go from Aid Stations both day and night, you will end up with a list of runners that arrived, exited, or dropped, sometime in the past. If you get behind by more than a day or so, you will find the record-keeping duty much more challenging than it needs to be.

Load this Form on a tablet or laptop computer and track runners until you have several dozen. Use the button to save the data to a thumbdrive to share the data with the Winlink Operator, who can then open a new message form and click to load the collected data and send it. This will save you time and effort, and might even free-up your Winlink Operator to perform other duties while you collect bib records on your phone or tablet, instead of pen and paper.

If you have a computer network savvy ham on your team, try networking your devices within a small WiFi, so you can just transfer the saved race data directly to the Winlink computer at any time.

There are many possible ways to slice this cake. Use your imagination and allow this form to help you be efficient in tracking runners.
